To provide clerical and administrative support for the Escrow and Title Departments.


The Escrow and Title Assistant is responsible for assisting the escrow and title staff by performing general support tasks to maintain departmental efficiency. This position is responsible for promptly answering incoming calls. When visitors and callers are uncertain about whom to contact, this position gathers information to determine how to assist them. Since this position is often the initial contact for customers, a courteous attitude and great customer service must be maintained. This position requires good interpersonal and verbal communication skills.

Under supervision, the position gathers documents and processes paperwork required for all payoffs, liens, and clearing titles for routine escrow transactions. This position communicates with lenders, realtors, attorneys, customers, etc., to facilitate information gathering.


1) Answer telephone calls courteously, timely, and professionally; route to appropriate individuals or departments quickly and accurately. 

2) Greet clients and addresses their questions and concerns. Direct clients to appropriate individuals or departments as needed.

3) Coordinate and execute closing documents with customers under Escrow Officer’s instructions in an accurate and timely manner.  

4) Follow the instructions provided by the Escrow Officer as to scanning and returning closing documents to the appropriate parties within the allocated time.

5) Input, access, and retrieve data relevant to closings timely and accurately.

6) Processes title orders received from clients via email, fax, telephone, or in-person by inputting data into the production system in a timely and accurate manner while following company policies, procedures, and service level requirements.  

7) Facilitate recording of documents in an accurate and timely manner; this includes but is not limited to reviewing, preparing, and distributing documents for recording and dating down files associated with documents to be recorded. Provide timely confirmation to all necessary parties of recording status.  

8) Perform duties of courthouse searcher, which includes searching and copying tax statements, searching the Grantor/Grantee books for liens, and searching judgment accurately and timely.

9) Investigate chains of title and various documents to determine the legal status of properties before commitment or policy issuance.  

10) Input data in the production system for commitments accurately and timely.

11) Develop and maintain a client base by effective marketing and ensuring that clients are provided exceptional quality and accuracy in products and services. 

12) Uploads all necessary documents into document retention software and completes all required information accurately and timely.

13) Perform a variety of clerical tasks that may include updating existing files, mail duties, banking transactions, filing, ordering supplies, typing documents, making copies, scanning documents, obtaining assessments, and light bookkeeping in an accurate and timely manner.

14) Communicate with company employees and customers by phone, in person, or through correspondence.
